Is it cheaper to use payroll software or outsource payroll for a 50-employee company in India?
Usually software, but only if you count both sides honestly. With outsourcing, the main cost is the provider's fee per payslip or per employee per month, plus charges for off-cycle runs, full-and-final settlements and year-end work such as Form 16. With software, the cost is the per-user subscription plus the time someone in-house spends each month checking attendance, approving changes and releasing payroll. At 50 employees that internal effort is typically a few days a month once the system is set up, and much of it (attendance, leave, statutory calculations) is work an outsourcer would still need you to send them. Get one outsourcing quote and one software quote for the same 50 employees, add an honest estimate of internal hours to the software side, and compare a full year including year-end. The OfficeKit HR ROI calculator lets you plug in your own numbers.
What you actually hand over when you outsource payroll
An outsourcing provider runs the calculations and usually prepares challans, returns and payslips. You still collect and send the inputs every month: attendance, leave, new joiners and leavers, salary revisions, reimbursements and investment declarations. You still answer employee questions about pay, and you still approve the final numbers before salaries go out. What you save is the calculation and filing work. What you add is a hand-off at month end, plus a dependency on the provider's calendar for every correction.
Compliance responsibility doesn't move
Outsourcing changes who does the work, not who is accountable. The employer remains responsible to the authorities for correct and timely PF, ESI, Professional Tax and TDS deposits, and for the records behind them. The labour codes in force since 21 November 2025 also introduce a uniform definition of wages, with exclusions capped at 50% of remuneration, which affects how PF, ESI and gratuity are calculated. Whichever model you choose, check that salary structures have been reviewed against it. Payroll software keeps the calculation rules visible, so you can see how each deduction was worked out rather than receiving only the result.
Speed and control: corrections, off-cycle runs and exits
The biggest day-to-day difference is how fast things can change. With software, a missed attendance entry, a late salary revision or an urgent full-and-final settlement can be fixed and re-run the same day by your own team. With an outsourced provider, the same change goes into their queue and depends on their cut-off dates. For companies that hire, exit or revise salaries often, that difference usually matters more than the fee.
Data and security
Payroll holds the most sensitive data a company has: salaries, bank accounts, PAN and identity documents. Outsourcing means that data is sent to, and stored by, a third party every month, often by spreadsheet or email. With in-house software, the data stays in one system with role-based access and an audit trail of who changed what. If you outsource, ask the provider how data is transferred, where it is stored, and who on their side can see it.
When outsourcing still makes sense
Outsourcing is a reasonable choice for very small teams with no one who can own payroll, for a company's first months before an HR function exists, or for an entity in a state or country where you have no local payroll knowledge. Many companies use a hybrid instead: payroll software for calculations and employee self-service, with an external accountant reviewing statutory filings. That keeps data and speed in-house while adding a second pair of eyes on compliance.
If you also run payroll in the GCC
For companies with staff in the UAE or other GCC countries, the same comparison applies, plus one extra step: salaries have to be paid through the Wage Protection System, using a salary file in the format your bank or exchange house accepts. Payroll software that generates the WPS salary file from the same payroll run removes a manual step. With outsourcing, the provider has to support WPS in each country you operate in.
